The Ateneo de Manila University Loyola Schools have transitioned most of its operations remotely in consideration of the safety and wellness of its students, faculty, and staff members. All services of the Loyola Schools Office of the Registrar are conducted online. In-person services are suspended until further notice.

Issuance of Official Scholastic Documents

 

TRANSCRIPT OF RECORDS
 

The Official Transcript of Records is a record of the courses taken and grades earned of a student, including credits transferred from other schools. This may be issued for evaluation, employment, board exam, and/or Commission on Higher Education (CHED) Certification of Authentication and Verification (CAV) purposes. It bears the signature of the Loyola Schools Registrar and contains the seal of the Ateneo de Manila University.

 

CERTIFICATES
  Certificates issued by the Loyola Schools Office of the Registrar include the following:
  • Batch/ Class Ranking (For Undergraduate Level only)
  • Certified True Copy of Diploma
  • Completion (For Graduate Level only)
  • Course Description
  • Cummulative Quality Point Index
  • Eligibility for Graduation
  • English as a Medium of Instruction
  • English Translation of Diploma
  • Enrollment
  • Grading System
  • Graduation
  • Honorable Dismissal/ Transfer Credential
  • Units Earned

CONDITION FOR ISSUANCE OF OFFICIAL ACADEMIC DOCUMENTS

Any Ateneo de Manila University Loyola Schools student and alumna may request copies of their transcipt of records or certificates at any time.

Students/graduates with hold order/ liability should be cleared by the concerned office first before the request will be processed.

A graduate student on a provisional status may not be issued official documents pending the submission of admission requirements.


GENERAL PROCEDURE FOR DOCUMENT REQUESTS
STEP REQUESTING PARTY LS REGISTRAR'S OFFICE

STEP 1:
REQUEST

 

Fills-up the Online Document Request Form.  
STEP 2:
VERIFICATION AND BILLING
Verifies and confirms details of request.
Checks eligibility of student for issuance of official academic records.
Verifies and asks for confirmation of details of request for scholastic documents.
Sends billing information and payment instructions.

 

STEP 3:
PAYMENT

Pays for document request according to billing information and payment instructions.
Submits a scanned copy/ screenshot of deposit slip as proof of payment.

NOTE:
Please wait for payment instructions before paying for your request.

For payments made abroad, additional bank charges related to the telegraphic transfer at bank of origin (cost of postage/foreign bank fee/wire transfer/taxes, etc.) shall be shouldered by the requesting party.

Requesting party would need to wire an additional US$ 20 to the assessed amount for documents as provision for the service fees charged by local banks/ financial institutions for remittances to the Philippines.

 

 

STEP 4:
PAYMENT VERIFICATION AND CONFIRMATION

 

  Verifies proof of payment.
STEP 5:
DOCUMENT PROCESSING
 

Processes document request according details of request.

NOTE:
Documents will be processed after submission and validation of proof of  payment and will be released within five to ten working days thereafter.

 

STEP 6:
DOCUMENT ISSUANCE
  Sends electronic (via email) or printed copies (via WExpress Courier Service) of the requested documents to the requesting party and/ or third party recipient.

NOTE:
If the student/ graduate is unable to attend to the transaction himself/ herself, he/ she must provide a letter of authorization to his/ her representative with a copy of his/ her valid ID with picture and signature and a copy of his/ her representative’s valid ID with picture and signature. A copy of these requirements should be uploaded in the online request form.

Electronic documents are released only through registrar.ls@ateneo.edu to the requestor's identified email address recipient.  

Due to campus access restrictions, printed documents shall be released only through an accredited courier. Shipping charges apply.

 

NOTE: The Loyola Schools Registrar's Office is currently receiving an unusual large volume of requests. The process of verifying requests via online channels is taking longer than the in-person process. Average turnaround time is between 10 to 15 days.
